Hi CS Pros!

Q4 is here, and the pressure is on. Deadlines are looming, targets are within sight, and every customer touchpoint counts more than ever. If you’re feeling the crunch, don’t worry—I’ve got you covered with a list of game-changing tools to help you work smarter, not harder.

These tools will save time, keep you focused, and help you create deeper customer connections.

(disclaimer: these are all tools that I have used as a CS Pro and personally recommend, I am not getting paid to recommend any of these tools. Some of the links below are referral links.)

1. Tools to Stay Organized and Efficient

Managing your day shouldn’t feel like juggling. These tools help you keep everything under control:

Asana & Trello: Keep track of tasks, renewal deadlines, and meeting follow-ups all in one place. Use templates for recurring workflows to save time during the busiest season.

Notion: Organize your notes, meeting summaries, and playbooks into a centralized hub. Perfect for keeping everything at your fingertips!

Pro Tip: Use Notion, Asana or Trello’s calendar views to map out your Q4 priorities and ensure nothing falls through the cracks.

2. Tools to Connect with Customers

Getting customers to engage can feel like pulling teeth, especially in Q4. These tools make it easier:

Loom: Send quick, personalized videos to recap meetings, explain reports, or walk through updates. Loom makes your messages stand out and builds stronger connections.

Fathom: Automatically record and transcribe Zoom calls. Never miss an action item or key insight, and save hours on note-taking. Also, use their AI to automatically create follow up emails and save hours in your day!

ChatGPT: Draft personalized follow-ups, prep for tough customer conversations, or brainstorm creative ways to engage. AI saves time and helps you get unstuck fast. I have created a free guide of 100 AI prompts you can use with ChatGPT to help you save time.

Pro Tip: Send a Loom video with a quick summary (from Fathom) of your latest meeting, highlighting the next steps. It’s a personal touch that keeps customers engaged.

3. Tools to Focus on Customer Outcomes

Data drives everything in Q4, and these tools help you focus on what matters most to your customers:

Gainsight, Planhat, Vitally, or Totango: Monitor health scores and identify risks before they become problems. There are other tools as well, but these are the tools I have used to monitor customer health scores.

Looker: Create dashboards that highlight progress toward your customer’s goals, helping you showcase the value of your product. I have personally used Looker to create dashboard for each individual customer so they can see a visual of their outcomes in one place/

Fathom: Quickly share meeting recordings and key takeaways with your team to align on customer strategy and action items. Fathom is a great tool to use internally as well as externally. Use Fathom to gather product feedback and customer outcomes and share recordings with your wider company.

Pro Tip: Use data-driven insights from the tools above during QBRs to emphasize how your work is driving customer outcomes. This keeps conversations strategic and goal-oriented.

Key Takeaways to Help You Crush Q4

1. Stay Organized: Tools like Asana, Trello, and Notion simplify task management so you can focus on high-priority activities.

2. Engage Personally: Tools like Loom and Fathom make connecting with customers easier and more meaningful.

3. Be Data-Driven: Use Gainsight, Vitally, or Looker to focus on outcomes and clearly demonstrate value to your customers.

Why This Matters

Even in the busiest quarter of the year, these tools can help you level up your productivity, create stronger connections, and build trust with your customers. Remember we are trying to work smarter, not harder. Let the tools do the work for you. When you’re organized, proactive, and focused on outcomes, customers are more likely to engage—and that means fewer “ghosts” in your inbox and more meaningful conversations to close out the year.
